CRIMECON 2027 EXHIBITOR TERMS & CONDITIONS
Please read these terms and conditions carefully as they contain information you must know and agree to accept and follow. All Attendee Terms & Conditions are hereby incorporated into these Exhibitor Terms & Conditions.
CrimeCon, LLC (“CC”) is proud to produce CrimeCon (“Event”). The following Terms and Conditions (“Terms”) apply to all exhibitors as well as any party you are bringing to the Event as part of your exhibition (“Exhibitor”). By reserving a spot in the Exhibitor Hall/Creator Row you agree to and accept these Terms. CC reserves the right to amend this policy at any time with or without notice.
1. EXPOSITION SPONSORSHIP & MANAGEMENT:
CC will provide show management and attendance promotion. No exhibits, displays, or demonstrations will be permitted in hotel meeting rooms, suites, guest sleeping rooms, or other locations outside the designated exhibit area unless otherwise approved. Violation of this policy may result in sanctions at future CrimeCon events. Such sanctions could include forfeiture or restriction of future participation privileges.
2. CONTRACT FOR EXHIBIT SPACE:
The order for booths, assignment of space, and the full payment of rental charge, constitutes a binding contract for the rental of the assigned space. An exhibitor failing to occupy space is not relieved of the obligation to pay the full rental price. Exhibitors must agree to furnish their exhibits so as not to obstruct the view of other exhibits. No partition other than the 36" high side dividers provided will be permitted unless specifically approved. No signs of any kind may be displayed at a height greater than 8 feet from the floor to the top of the sign. Standard booth background and side rails will be provided without charge. Booth backgrounds are approximately 8 feet in height and divider rails 36 inches in height.
3. ASSIGNMENT OF SPACE:
Allocations of available space will be made on a first-come, first-served basis based on size of reserved space and whether a premium spot was indicated and reserved. CrimeCon reserves the right to make final space assignments and/or change space assignments after the acceptance of the application should CC believe, in its sole discretion, that it is in the best interest of the event. Dimensions provided are approximate but not guaranteed. The price of space includes booths of appropriate construction, uniform signs for each booth, a skirted table and 2 chairs, and adequate illumination of space. Exhibitors having booths of their own construction may use them so long as all load in, load out and insurance requirements are met. 4. PAYMENT OF SPACE:
Contracts must be accompanied by full payment of booth and advertisement fees.
5. CANCELLATION OR WITHDRAWAL:
All booth and advertising purchases are non-refundable. Cancellations and withdrawals are effective only upon written notice to CrimeCon. Booth space is not transferable to another company without the prior written approval of CrimeCon. In the event CrimeCon cancels the Event, the Exhibitor’s sole and exclusive remedy, and CrimeCon’s entire liability, shall be limited to a refund of the fees paid by the Exhibitor. The date upon which the notice of cancellation is received shall apply as the official date of cancellation. CrimeCon has the right to resell the space vacated upon notification of cancellation.
6. OCCUPANCY OF SPACE:
Installation is expected to be from 7:00 am – 11:00 am ET on September 24, 2027. The Event will officially open at approximately 11:00am ET on September 24, 2027, and will close at approximately 2:00pm ET on September 26, 2027. Exhibits must be removed by 5:30pm ET on September 26, 2027. These times are subject to change and final times will be communicated at least 30 days before the start date. No exhibit shall be packed, removed, or dismantled prior to the closing of the Event.
7. TERMINATION OF EXHIBIT:
If the premises where CrimeCon is to be housed are destroyed or damaged; or CrimeCon fails to take place as scheduled; or is relocated or interrupted and discontinued; or access to the premises is prevented or interfered with by reason of any strike, lockout, injunction, act of war, act of God, or emergency declared by any government agency; or for any other reason, this contract may be terminated by CrimeCon. In the event of such termination, the Exhibitor waives any and all damages and claims for damages and agrees that the sole liability of CrimeCon shall be to return the Exhibitor's rental payment, less a pro rata portion of all costs and expenses incurred and committed to by CrimeCon.
8. ADVERTISEMENT SPACE:
Reservations for advertisement space in the official Printed Program must be paid in full to reserve the space. Specifications for artwork size, layout, and format will be provided. Advertisement space is non- refundable and cannot be deferred to a future event. Artwork received after the provided deadline is not guaranteed and will not be refunded.
CrimeCon has sole approval over any material submitted as CrimeCon program advertising as deemed by CrimeCon in its sole and absolute discretion. Advertisers must meet the CrimeCon standards of good taste. If an advertisement is denied on these grounds it is the Exhibitor’s responsibility to revise and submit new creative until it is approved. No refunds will be provided based on advertisement denial.
9. EXHIBITOR'S REPRESENTATIVE:
Each Exhibitor organization must name at least one person to be its official representative, with authorization to enter such service contracts necessary for the installation and removal of exhibits and the provision of services, for which the Exhibitor will be responsible. At least one person must be in the Exhibit Booth during all open hours.
Exhibitor agrees not to assign or sublet the whole or any portion of the rented space covered by this contract. No two companies of different ownership can share a single booth. Exhibitor must submit the full names & contact information for all personnel receiving Exhibitor Badges no later than 30 days prior to the event. Exhibitor is not permitted to bring anyone into the event or Expo Hall without registering them prior. Requests will not be fulfilled on-site.
Each exhibitor agrees to abide by the foregoing rules and regulations, and by any amendments or additions thereto that may hereafter be established or put into effect by CC. These rules are subject to revision by CC and all points not covered are subject to its decision. They have been formulated for the best interest of the exhibitors as well as CC, and all participants in the Exposition are asked to cooperate in the observance of them.
10. SOLICITATION IN THE EXPOSITION:
The aisles and other space in the Exposition Area are not leased to the exhibitors and shall be under the control of CrimeCon. All displays, interviews, conferences, distribution of literature, lectures, or any other type of activity shall be conducted inside the space contracted for. Exhibitors' representatives standing in aisles or in front of exhibit booths of other Exhibitors for advertising purposes is strictly prohibited. Nothing shall be posted on, tacked, nailed, screwed, or otherwise attached to columns, walls, floors, or other parts of the building or furniture. Signs, rails, etc. will not be permitted to intrude into or over aisles.
Failure to abide by these rules may result in immediate removal from the Event.
11. EXHIBIT STANDARDS:
CrimeCon shall have the right to prohibit any exhibit or part of an exhibit that in its opinion is not suitable to, or in keeping with the character or purpose of the show. Questionable exhibits shall be modified at the request of CC. CC reserves the right to interpret and remove from the show program materials, advertising, or literature any Exhibitor or Exhibitor materials which CC believes, in its sole discretion, would be in bad taste and detrimental to the event if such materials were displayed.
12. MERCHANDISE:
CrimeCon maintains the exclusive right to sell apparel and accessories from the on-site CrimeCon Merchandise Store. Vendors specializing in one specific product category may be permitted to sell merchandise from their booth. Vendors may sell apparel using their brand name and/or logo only.
CrimeCon will need to approve in advance the designs of any products intended to be sold or given away. Product proofs and/or designs must be submitted for review at least 60 days prior to the start of the event.
Exhibitors selling merchandise or other taxable goods on the show floor are solely responsible for collecting and remitting all applicable Florida state and local sales tax. The State of Florida requires temporary event sellers to register with the Florida Department of Revenue and obtain a Certificate of Registration prior to the Event. CrimeCon does not collect or remit sales tax on behalf of Exhibitors. Exhibitors remain solely responsible for all other applicable city, county, state, and federal taxes on sales and promotional activities during CrimeCon. 13. SOLICITATION BY NON-EXHIBITORS AND NON-REGISTERED ATTENDEES:
Persons connected with non-exhibiting companies are prohibited from any dealings, exhibiting, or soliciting within the Event area or hotel facilities. Exhibitors are urged to immediately report any violations of this rule to Show Management.
14. LIABILITY AND INSURANCE:
Exhibitor agrees to protect, save, and hold CC forever harmless from any damages or charges imposed for violation of any law or ordinance, by the negligence of the Exhibitor, as well as strictly comply with the applicable terms and conditions contained in the agreement between the hotel facility and CrimeCon regarding the Exposition premises. Further, Exhibitor shall at all times protect, indemnify, save, and hold harmless CC as well as its subsidiaries, parents, sponsors, subcontractors and vendors hired specific to the production of the Event from and against any and all loss, cost damage, liability, or expense arising from or out of or by reason of said Exhibitor's occupancy and use of the Exposition premises or a part thereof.
CC will exercise responsible care for the protection of Exhibitor's material and displays. However, the Exhibitor, on signing the contract expressly releases CrimeCon and the hotel, and agrees to indemnify same against any and all claims for such loss, damage or injury. Exhibitors desiring to carry insurance on their exhibits will place it at their own expense.
Exhibitor shall maintain, at its sole cost, Commercial General Liability insurance written on a per-occurrence basis with minimum coverage limits of $1,000,000 per occurrence / $2,000,000 aggregate, in force for the entire duration of the Event, including all setup/installation and teardown/dismantling periods. Exhibitor shall name CrimeCon, LLC, [VENUE LEGAL NAME], and [PARENT COMPANY, LLC] as additional insureds on all relevant policies. A valid Certificate of Insurance reflecting this coverage and naming the required additional insureds must be submitted to CrimeCon at [EMAIL] no later than thirty (30) days prior to the Event. An Exhibitor that has not submitted a valid Certificate of Insurance by this deadline may be denied access to the Expo Hall, with no refund of fees paid.
Security guards shall be furnished during the installation, open hours, and dismantling of the show. The furnishing of the guards shall not increase the liability of Show Management or show sponsors. ONLY THOSE EXHIBITORS PROPERLY IDENTIFIED AND WITH PERMISSION OF SHOW MANAGEMENT MAY ENTER THE EXHIBIT AREA DURING NON-SHOW HOURS. EXHIBITOR BADGES MUST BE WORN AT ALL TIMES WHILE IN THE EVENT SPACE.
15. SAFETY:
Fire regulations require all display material used for decoration be fireproof. All electrical equipment, including signs and lights, shall be in good condition and able to pass inspection of the Fire Marshal. Each exhibitor agrees to be knowledgeable and responsible regarding ordinances and regulations pertaining to health, fire prevention, and public safety while participating in CrimeCon. The use of flammable materials, substances or fluids of any nature, which are prohibited by fire regulations, may not be used in any booth.
Exhibitors are fully responsible for any loss, damage, or injury to facility owners or personnel resulting from exhibitors’ display or actions. Exhibitors are also fully responsible for any loss, damage or injury to CrimeCon attendees resulting from exhibitor’s display or actions. Exhibitors are liable to the official exhibit decorator firm for any and all loss or damage to rented or leased booth equipment, regardless of cause, and shall indemnify, defend and hold harmless CrimeCon against any and all claims or suits for loss or damage.
CrimeCon reserves the right to cancel arrangements or contracts or close an exhibit whenever it, in its sole and absolute discretion, deems such action necessary for the safety or comfort of those attending CrimeCon. Causes for cancellation or closure may include, but are not limited to exhibits, activities or materials being deemed hazardous, objectionable or offensive in nature or deemed in violation of applicable laws and ordinance, third-party legal rights, facility policies and/or rules and regulations. Any exhibit, activity or materials deemed to have caused injury or damage to the hotel facilities, CrimeCon property and/or attendees and their property will be cause for immediate cancellation and closure at CrimeCon sole and absolute discretion.
16. SHIPPING:
Exhibitor agrees to ship, at its own risk and expense, all property to be exhibited, and all shipments must be prepaid. Freight, drayage, and material handling for the Expo Hall are managed by the official general contractor/decorator. Exhibitors must not ship materials directly to the venue; materials shipped directly to the venue may be refused or may incur additional handling fees. An Exhibitor Services Kit containing the advance warehouse address, shipping deadlines, drayage rates, and order forms will be emailed to all approved Exhibitors in advance of the Event. Advance shipments will be accepted, and the warehouse cutoff will apply, only within the windows stated in the Exhibitor Services Kit. Shipping fees associated with items to be included in the registration bags are the responsibility of the Exhibitor/sponsor, and additional shipping fees may apply.
17. BOOTH FURNITURE AND SPECIAL WORK:
Additional furniture is available to rent from the Exhibit Decorator. Information will be forwarded at least 30 days prior to the event.
18. ELECTRICITY, INTERNET & AV:
Exhibit booths do not include electrical service, hardwired internet, or audiovisual (AV) equipment, nor do they guarantee access to a power outlet. Electrical, internet, and AV services are ordered separately through the venue or official provider using the order forms included in the Exhibitor Services Kit. Exhibitors are strongly encouraged to order electrical service in advance, as on-site/day-of rates are significantly higher. Complimentary venue Wi-Fi, where available, is not guaranteed to support sales or payment transactions; Exhibitors processing payments should order a dedicated, hardwired line.
19. COPYRIGHT PERMISSION & INDEMNIFICATION:
Exhibitor represents and warrants that no work protected by copyright will be staged, produced, or otherwise performed, via either "live" or "mechanical" means, by or on behalf of the exhibiting firm, at CrimeCon, unless exhibitor has previously obtained written permission from copyright owner or the copyright owner's designee (e.g. ASCAP, BMI, or SESAC) for such use.
Exhibitor further represents and warrants that it shall be fully responsible for the performance of all obligations under any agreement permitting the use of such material/music, including but not limited to all obligations to report data and to pay royalty fees.
Use of any product by any exhibitor, employee or agent thereof containing the CrimeCon trademark, the CrimeCon logo or other trademarks owned by CrimeCon is prohibited without the express written permission of CrimeCon. Exhibitors agree that if any materials making such unauthorized use appear at CrimeCon, CrimeCon shall have the right to take possession of and destroy all such materials, as well as to pursue other available legal remedies.
The following provisions further govern Exhibitor’s use of CrimeCon’s intellectual property:
(a) Definitions. For purposes of these Terms, “CrimeCon Marks” means the name “CrimeCon,” all associated logos, wordmarks, trade dress, slogans, event branding, and any other trademarks, service marks, or proprietary identifiers owned or licensed by CrimeCon, whether registered or unregistered.
(b) No License Granted. Nothing in these Terms grants Exhibitor any right, title, license, or interest in or to the CrimeCon Marks or any other intellectual property owned or controlled by CrimeCon. Any use of the CrimeCon Marks not expressly authorized in writing by CrimeCon is strictly prohibited.
(c) Prohibition on Merchandise & Promotional Items. Exhibitor shall not, without the prior express written consent of CrimeCon:
a. Manufacture, produce, distribute, sell, offer for sale, or give away any merchandise, apparel, accessories, printed materials, digital goods, giveaway items, swag bags, or promotional products of any kind that incorporate, reproduce, imitate, or are confusingly similar to any CrimeCon Mark;
b. Use any CrimeCon Mark on packaging, labels, stickers, banners, signage, booth materials, or point-of-sale displays in connection with any product or service; or
c. Create or distribute co-branded materials suggesting an affiliation, endorsement, or sponsorship relationship between Exhibitor and CrimeCon beyond what is expressly stated in these Terms.
20. MISCELLANEOUS REGULATIONS:
Exhibitor shall not foster or conduct outside activities that would take qualified attendees from CrimeCon functions and/or Exposition during scheduled hours.
Manufacturers or suppliers must be exhibitors in order to use a hospitality suite and must obtain authorization from CrimeCon. The term hospitality suite shall include any open room with readily available food, drink, and/or entertainment where same may have been publicly announced or advertised.
21. RULES & REGULATIONS:
Any rules and regulations relevant to the hotel facility will be provided upon request to the exhibitor by CrimeCon. Any union rules specific to the facility will be included and by signing the contract all will agree to adhere.
22. AMENDMENTS TO REGULATIONS:
Any and all matters and questions not specifically covered by the articles in this contract shall be subject to the decision of CrimeCon. The aforementioned items covered by this contract may be amended at any time by CrimeCon in the interest of the show and notice thereof shall be binding on exhibitor equally with the foregoing rules set forth in this contract.
23. RESPONSIBILITY:
It is the responsibility of the Exhibitor to be fully familiar with these rules and regulations and to see that each member of the firm attending the CrimeCon, either as exhibitor personnel or registrant or both, is familiar with these rules and regulations.
24. FOOD AND BEVERAGE:
The host hotel is the exclusive caterer for the hotel and no outside food or beverage is permitted. Exhibitors wishing to dispense food or beverages in the exhibit hall should contact the Catering department at the hotel. Fees and documentation from the local Health Department might apply.
25. RESTRICTED MARKET AREAS:
Any exhibitor displaying goods and/or services whose distribution, sale or use is prohibited in any area of the United States must provide information to attendees showing those areas of restriction OR those areas approved for the goods and/or services in question.
26. RULES OF CONDUCT OR ADMISSION:
CrimeCon prohibits firearms, ammunition and firearm accessories of any kind to be brought into CrimeCon activities and the hotel facilities. CrimeCon has directed and authorizes the Facility and local law enforcement to implement and enforce such rules.
27. LIVESTREAMING & RECORDING:
Unauthorized livestreaming or recording of any CrimeCon event content is strictly prohibited. This prohibition applies to, but is not limited to, the livestreaming, simulcasting, broadcasting, or real-time transmission of session content, presentations, performances, panels, interviews, or Expo Hall activity via any platform or medium, including social media live features, streaming services, or broadcast.
Media outlets, content creators, exhibitors, or sponsors wishing to conduct livestreaming or recording for distribution must obtain explicit written authorization from CrimeCon prior to the Event. Authorization requests must include: (i) the requesting party’s legal name and contact information; (ii) a description of the content to be streamed or recorded; (iii) the platform(s) and intended audience; (iv) the date, time, and location of the proposed activity; and (v) the commercial or editorial purpose of the activity.
Authorization requests must be submitted no fewer than thirty (30) days before the Event. CrimeCon reserves the right to approve or deny any request in its sole discretion. Approved parties will receive a media credential clearly designating their permitted activities.
CrimeCon and its authorized photographers and media partners may photograph, film, and record the Event, including Exhibitor booths, activations, and personnel, and may use such materials for promotional, marketing, and archival purposes without further compensation. Exhibitor consents to such use on its own behalf and on behalf of its personnel.
28. BOOTH & ACTIVATION RENDERINGS; APPROVAL:
Booths or activation spaces larger than one hundred (100) square feet are required to submit detailed renderings or a rough floor plan of the space to CrimeCon for approval no fewer than thirty (30) days prior to the Event. CrimeCon reserves the right, in its sole discretion, to require modifications to, or to reject, any booth or activation design that does not comply with these Terms, venue requirements, or applicable safety codes.
29. GOVERNING LAW; SEVERABILITY; ENTIRE AGREEMENT:
These Terms shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict-of-laws principles. The parties agree that any dispute arising out of or relating to these Terms shall be brought exclusively in the state or federal courts located in Orange County, Florida. If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions shall continue in full force and effect. These Terms, together with the Attendee Terms & Conditions and any exhibitor application or order form, constitute the entire agreement between the parties with respect to the subject matter hereof and supersede all prior agreements and understandings.
